The Files Are Yours. Here's How to Actually Keep Them.
You hired a photographer, the event was incredible, and now the files have landed in your inbox or your gallery link. 📸 Now what?
Most people download the photos once, maybe toss them in a folder somewhere, and quietly hope for the best. Then a hard drive crashes, a phone gets wiped, or a laptop goes missing and suddenly a memory that felt permanent is just gone. Back It Up More Than Once
A single copy is not a backup. That is just a file. The golden rule in file protection is the 3-2-1 approach: keep three copies of your files, on two different types of storage, with one of those copies stored somewhere offsite or in the cloud. In practical terms, that means downloading your gallery to your computer, copying it to an external hard drive, and also saving it to a cloud service like Google Photos, iCloud, or Dropbox. Do all three, not just one. Hard drives fail. Phones get lost. Cloud accounts can be locked if a subscription lapses. When you spread your files across multiple locations, you give yourself a real safety net instead of a false sense of security.
Name Your Folders Like Future-You Will Thank You
The folder labeled “New Folder (3)” is not going to help you three years from now when you are hunting for photos from a specific event. Take five minutes right after you download your gallery to rename the folder clearly, something like EventName_YYYYMMDD_VividFocusPhotography. Include the event name, the date, and the photographer so there is never any confusion about what you are looking at. It sounds minor, but organization is part of preservation. Files you can actually find are files you will actually use.
Prints Need a Little More Love
If your Event Photography package included prints, or if you ordered prints after delivery, the care they need is different from a digital file. Keep them out of direct sunlight, which fades color faster than most people expect. Store loose prints in acid-free sleeves or archival boxes rather than regular envelopes or plastic bins. If you are framing them, use UV-protective glass. These are not complicated steps, but they are the difference between a print that looks beautiful in twenty years and one that looks washed out and brittle. The craftsmanship that went into capturing those moments deserves the same thoughtfulness on your end when it comes to storing them.
One Last Thing Before You Close That Gallery
Most delivery galleries have an expiration window. Before you do anything else, download everything immediately once you receive your gallery link. Do not wait until the weekend. Do not save the email to come back to. Open the link today and pull every file down to a local drive first. That one habit protects everything else downstream.
